We are looking for a competent Executive Administrative Assistant to provide personalized secretarial and administrative support in a well-organized and timely manner. The incumbent will work on a one-to-one basis on a variety of tasks related to the executive’s working life and communication.

The Executive Administrative Assistant must be quick, professional with great time-management and multitasking abilities. It is due to Executive Administrative Assistants’ diligence and competence in their work that executives can focus on their managerial responsibilities without worrying about other tasks.

JOB DESCRIPTION:

Perform administrative duties for executive management. Responsibilities include screening calls, managing calendars, making travel arrangements, arranging meetings and events, preparing reports and financial data and communicating with visitors. The incumbent shall be tech-savvy, with strong computer and Internet research skills, flexible, with excellent interpersonal skills, project coordination experience and an ability to work well with all levels of internal management and staff, outside clients and visitors. Sensitivity to confidential matters is required.

 

JOB RESPONSIBILITIES:

Maintain the executive’s agenda and assist in planning appointments, board meetings, conferences etc;
Manage schedules of program management meetings both externally and internally;
Make appointments and maintain appointment calendars of the CEO;
Answer and direct phone calls;
Hold correspondence and telephone conversations with foreign partners;
Organize and schedule appointments;
Maintain diary, arrange meetings and appointments and provide reminders;
Attend meetings and keep minutes;
Act as the point of contact between the executives and internal/external clients;
Handle requests and queries appropriately;
Write and distribute emails, correspondence memos, letters, faxes and forms;
Make translations;
Prepare additional agreements;
Maintain electronic and paper records ensuring information is organized and easily accessible;
Appoint the executive’s meetings;
Assist in the preparation of regularly scheduled reports;
Develop and maintain a filing system;
Update and maintain office policies and procedures;
Make travel arrangements for executives;
Book hotels, make air tickets reservations;
Submit and reconcile expense reports;
Provide general support to visitors;
Liaise with executive and senior administrative assistants to handle requests and queries from senior managers;
Maintain workflow by studying methods, implementing cost reductions and developing reporting procedures;
Implement administrative systems, procedures and policies;
Collect and fill in embassy documents;
Organize the delivery of contracts and other documents.

 

REQUIRED QUALIFICATIONS:

A. Education:  A diploma in Business Administration (MBA) or related field is required.
B. Prior Work Experience:  Four years of experience in government or a commercial business in a secretarial/administrative position.
C. Language Proficiency (level and specialization): Fluent written and oral English, Armenian, and Russian proficiency is required.
D. Job Knowledge: A good all round knowledge of general office procedures, correspondence format, filing and appointment setting.
E. Skills and Abilities:  Must be able to prioritize, organize own work, be meticulous in filing and details, and be able to respond to routine requests/inquiries.  Demonstrated oral and written communication skills.
F. Must be able to maintain effective working relationships with both supervisor and other personnel within the team and other teams.
G. Computer literacy in at least three software packages is required.
H. Strong organizational skills with the ability to multi-task.

JOB RESPONSIBILITIES: 

- establish a market and boost the process of increasing the number of Shant Premium subscribers,
- develop and expand the sales markets for PayTV services both in Armenia and abroad,
- develop an understanding of the company’s product lines, sell product, and support and adhere to all sales and management policies, programs and procedures of the company,
- collaborate strategically with TV cable operators, internal and external; build and maintain high-level contacts with current and prospective customers and business partners,
- determine market needs and make recommendations,
- explore and analyze the foreign market in the cable television industry for business expansion,
- constantly promote, distribute and expand the list of potentially new operators for further increase of subscribers in Armenian settlements abroad,
- constantly promote and prepare materials and distribute them,
- develop and implement the sales strategy,
- expand the list and geography of IP and other operators rebroadcasting Shant Premium, as well as sign and execute contracts,
- organize the subscription of DTH users, operate the order placement system, organize the delivery of receiver devices and cards,
- achieve all stated market development objectives and strategies,
- be determined to secure the best terms for Shant Premium TV channel  in the face of intense internal and external pressure,
- have willingness to do whatever it takes to successfully conclude deals and establish purposeful cooperation.

 

REQUIRED QUALIFICATIONS: 


- higher education; preference is given to candidates who have graduated from the AUA;
- experience in the field of marketing or management, preferably with similar products;
- excellent knowledge of English and Russian languages;
- at least 5 years of organizational experience in the field of IP, OTT, PAY TV or TV broadcasting;
- strong commercial awareness;
- ability to work as a team member;
- ability to work under pressure and meet short deadlines;
- good selling skills;
- organized, self-motivated person with excellent communication skills;
- high sense of responsibility;
- proficiency in computer programs (MS Office) and skills of working in the internet environment;
- knowledge and experience of application of different research methods;
- communication skills, representativeness and negotiation skills;
- analyzing ability, initiative, determination, sense of responsibility, problem-solving skills, flexibility and team-working skills.
